Closing Invoices in ConnectWise PSA
Closing an invoice changes its status to one marked as closed in the Billing Status Setup Table. Until you close it, the invoice cannot be exported to your accounting package.
Note: The company associated with the invoice must have an account configured on the Company Finance Summary tab. If it doesn’t, ConnectWise will block the close with the error: “Company does not have an account. Please update using the Company Finance screen before closing this invoice.”
Ways to close an invoice
You can close invoices from several places in ConnectWise PSA:
- Inside the invoice — change the status to a closed status and select Save.
- My Invoices — right-select the invoice status and change it to closed.
- Invoice Search — right-select the status of an individual invoice and change it to closed.
- Invoice Search (batch) — select multiple invoices, then use the Action button to change their status to closed in bulk.
- Invoice Batch Emailing — invoices close automatically during the batch email process if the Email Format is configured to do so.
What closing an invoice does
When an invoice status changes to closed:
- Revenue distributions are generated for transfer to your accounting package.
- The Sales Commissions tab becomes available, showing commission allocations based on your Sales Commission Setup Table and any splits defined on the Opportunity Team tab. To adjust a commission line, open the record and enter an adjustment amount and reason.
- Fixed-fee invoices adjust their associated time records to reflect the fixed-fee value for reporting purposes.
- The invoice locks against edits. The only change allowed after closing is reverting the status back to open — and only until the invoice is posted to GL. Once posted, the status cannot be changed.
Note: After closing, only Time Entry Notes remain editable. These can be copied out of a closed invoice but cannot be edited in place.
After closing: export to accounting
