My Invoices Screen in ConnectWise PSA

How to use the My Invoices screen in ConnectWise Manage to review, route, and take action on open invoices assigned to you.

My Invoices Screen in ConnectWise PSA

The My Invoices screen shows only open invoices. To review closed invoices, use the Invoice Search screen instead.

Access and security

Who sees what in My Invoices is controlled by security roles and routing rules. For example, to limit a sales rep to invoices from their territory only:

  1. In Security Maintenance, find the member’s security role.
  2. Under Invoicing and Finance, grant access to My Invoicing Approval only.
  3. In the Billing Setup Table, set up a routing rule that routes invoices to that member.

With this setup, the rep sees only invoices routed to them — nothing else.

MemberFilter the list to show a specific member’s invoices.
ActionRun a bulk action on selected invoices (see below).
View ReportPrint the Invoice Search Report for all invoices currently listed. Includes invoice number, company, type, date, status, next routing, and amount.
Route BackwardRoute selected invoices backward per the routing rules on the Routing tab. Requires at least one invoice selected.
Route ForwardRoute selected invoices forward per the routing rules on the Routing tab. Requires at least one invoice selected.
Search / ClearRun or reset the current search filter.

Bulk actions (Action menu)

Select one or more invoices, then choose an action:

Note: Bulk actions do not apply to special invoices.

Column reference

ColumnDescription
InvoiceInvoice number. Select it to open the invoice detail.
Company NameThe company this invoice was created for.
Customer POCustomer purchase order number.
Invoice TotalTotal amount on the invoice.
DateInvoice date. Sortable.
StatusCurrent invoice status. Right-select the status to change it inline.
Invoice TypeHow the invoice was created (see below).
Agreement TypeFor Agreement invoices, the agreement type. Bundled agreements show the parent agreement type.
Internal NotesAny internal notes added to the invoice.
Next RoutingMember ID of the next person in the routing queue. Open the Routing tab on the invoice to see the full routing chain.
TerritoryTerritory on the invoice, defaulting from the company record.
Project/PhaseProject name, if the invoice contains project billing.
LocationLocation set on the invoice.
DepartmentGroup on Special and Agreement invoices. Standard and Progress invoices do not have a group.
Company IDCompany ID for the billed company.
Invoice DeliveryDelivery method for the invoice. Defaults from the Company Finance screen. Previously called Billing Delivery.
Credit AmountCredit memo applied to the invoice, if any.
Paid AmountAmount recorded as paid. Right-select this column to mark Paid in Full, Partial Paid, Not Paid, Apply Credit Memo, Print Invoice, or Print Time Detail. When you apply a credit memo, only the Invoice Balance changes — not the Invoice Total on the Invoice tab. After marking Paid in Full, a “PAID” stamp appears when printing.
Date PaidDate the invoice was marked paid. Right-select to update.
Bill ToCompany the invoice was billed to.
Service TotalService line total.
Expense TotalExpense line total.
Product TotalProduct line total.
Sales TaxSales tax on the invoice.
Sales Order #Sales order number.
Tax CodeTax code applied to the invoice.
Billing SiteBilling site/location.
Billing TermsPayment terms for the invoice.

Invoice types

TypeHow it’s created
AgreementVia the agreement invoicing screen. Contains billing from the associated agreement.
Credit MemoVia Special Invoices. Contains a credit amount or credit for a specific product.
DownpaymentVia Special Invoices. Contains a downpayment amount for the customer.
MiscellaneousVia Special Invoices. Contains a miscellaneous amount or products.
ProgressVia the invoice wizard. Used only for progress billing on fixed-fee projects.
StandardVia the invoice wizard. Can contain time, expenses, and products.
